This application is the first stage of the worlds first truly comprehensive asset management solution. Highly graphical and user friendly , this Hospitality Costing and Purchase/Service order creation tool simplifies cost and order control.
This can be achieved in two ways:
- The first method makes use of the “Designers Book” (including photographs) electronically entered.
- The second method uses our clients categorised, comprehensive database of items stored in the program perhaps used previously in other projects. Part of our service is data integration.
- Be aware that every item is Main and Sub categorised and has the facility for nominal codes to be recorded against every item and project allowing unbeatable financial reporting.
Request for Quotation documents are quickly produced and e-mailed to pre registered suppliers. Alternatively they can be uploaded to the Web Enabled FF&E Tender module.
The main screens are designed to allow printed “screen shots “ to form an important part of demonstrations coupled with comprehensive, alpha numeric, reporting.

WEB TENDER module
Your corporate identity is integrated into the application and the link added to your web site. RFQ’s from WELLSTOCK or WELLCOST are uploaded onto the application and suppliers post their bids. Your Buyer views these on line and down loads the preferred suppliers details and bid into the system updating the item listing. Purchase or service orders can be created here or transferred into the WELLSTOCK inventory control system for Purchase/Service Order fulfilment and Logistics management

A major benefit of this procurement module is that at any point the budgeted, quoted and actual values can easily be reported by room suite, floor department or project.
WELLSTOCK Logistics and Inventory Control
This WELLSTOCK solution allows entry of every individual Purchase Order, creating an inventory for each project. This can received as an electronic file from a purchasing agent with additional non-standard information added manually or ideally populated from WELLCOST. The status of these Purchase Order items can be transmitted to the Internet at regular intervals allowing the Principle, The local Hotel Project Manager or any other key stakeholder, to view on screen every item sorted by PO reference, Supplier Delivery date, Delivery status, En route in warehouse, Delivered etc. All items referenced and sorted for each floor, suite or room.
The progress of each item in the supply chain is monitored and all interested parties can view the status online. Progress emails are sent automatically as information is received. All stock item descriptions are saved in the database and can be allocated to any new project at a later date.
Supplier’s invoices are passed in the system against goods receipt and the final payment value for each item updates the item database ideally shared with WELLCOST for future products.
At the end of the project all cost are updated and each suppliers performance recorded. This database of assets can be used for continual re valuation or house keeper reordering.

- The entire project inventory is entered into WELLSTOCK as Pre-booked.
- Items can be listed and grouped as Furniture, Fittings, Carpets, etc, to be made up as required.
- Shipping charges can be shown as a Monetary Valued Item.
- All item details are transmitted to the internet tracking screen showing expected delivery dates and are continually updated during its progress along the supply chain until final delivery.
- All shipping information is shown.
- Each Purchase Order item can carry final destination information. e.g. Hotel, floor, suite, or room.
- Over due delivery or receipt of items are flagged.
- Management reports, both local and online, can be built to show aspects of all information held by the system. Including for example the delivery performance of each supplier.
- Bar code technology can be incorporated at the Purchase order stage and utilised for goods receipt and final room / area allocation.
- Online and in-house authorized parties can view goods movement, goods status and notes.
- The Principal can log on and select which project to be shown, monitor all activities and add comments to each as required.
